Event Rental Terms and Conditions
Access Included in Rental:
- 3 Hours of Private rental space
- Soft Play Equipment (Bouncy Castle, Balls, padded floor, Fence, 5 x soft play sets, 2 x bunny hoppers)
- (14) 6 ft Tables
- (30) Chairs
- (1) 6ft desk
- (4) Cocktail Tables
- (2) 4ft children’s tables
- (10) children’s chairs
- Access to in ceiling speaker system
- Access to WIFI and two 85” smart tv’s
- Access to full fridge and freezer
- Access to change table and diaper genie
- Cutlery, glass ware, plates and coffee cups
- Complimentary Coffee upon request
- Complimentary access 1.5 hrs before the event for set up and 1.5 hrs after for clean-up and removal of decorations etc.
House Rules:
- Maximum Capacity for Meeting Space: 60
- Recommended Max Capacity for Soft Play Party: 30
- Age Limit for Soft Play use is 4 Year and under.
- Complimentary Wi-Fi is provided for event use; however, the venue is not responsible for outages or slow speeds
- On-site parking is available
- No overnight parking is permitted unless authorized
- Events must start and end within the agreed rental period.
- The Client is solely responsible for ensuring adequate adult supervision at all times. A minimum supervision ratio of one (1) adult per five (5) children is recommended. Events On Boulder does not provide childcare or supervision services.
- Shoes must be removed before entering soft play areas. Socks are required.
- No food, drinks, candy, gum, jewelry, sharp objects, or hard toys are permitted in the soft play area
- Renters are responsible for restoring the venue to its original condition
- No nails, staples, tape, or adhesives are allowed on walls, ceilings, or furniture
- Alcohol is permitted only with prior approval and proof of a valid license
- Smoking and vaping are prohibited indoors
- Illegal substances and activities are strictly forbidden
- Events involving minors require adult supervision at all time
- Renters must familiarize themselves with emergency exits and procedures
- Animals or pets are not permitted unless previously approved
- The venue reserves the right to refuse service or terminate events that violate house rules or jeopardize safety
1. Use of Premises
The Renter agrees to use the premises solely for the event described above and shall not permit the premises to be used for any other purpose without the prior written consent of the Owner.
2. Food/Beverage Policy
Events On Boulder will not be responsible for any food/beverage related expenses. The Rental Fee does not include catering, audio/visual services, additional equipment rentals or other furniture rentals, tablecloths, chair covers, all other linens, coat check attendant, security guards, additional staffing, valet services, decor services, music tariffs, etc.
3. Deposit & Payment Schedule
Initial Deposit
Events On Boulder requires a 50% deposit via E-transfer to Events@stone-tucker.com due at the time of signing of this Agreement to reserve the Rental.
The Rental will not be reserved for the Client until the Initial Deposit is received.
Balance is to be paid in full before the date of your event.
4. Rental Items & Deliveries
Rentals may be delivered during the week of the event from 8 a.m. to 3 p.m. and can be stored in the back shop. Outside of these hours we are not responsible for rental items. We are not responsible for any lost/stolen/damaged rental items. In the event that the event space is damaged by a rental company, the renter will be responsible for any repair costs that may be incurred.
5. Damages, Repair Costs & Extraordinary Cleaning Costs
The Renter agrees to indemnify, defend, and hold harmless the Owner from and against any and all claims, damages, losses, and expenses arising out of or resulting from the Renter's use of the premises. The Client shall be responsible for any damages (including, but not limited to, property damage and personal injury) suffered or incurred by Events on Boulder or any employee, guest, invitee or contractor of caused by the Client or any guest, invitee or contractor of the Client. The Client agrees to indemnify and hold harmless, Events On Boulder (Stone Tucker Instruments), its affiliates, their employees, contractors, directors, and officers ("Indemnitees") from all actions, costs, claims, losses, expenses and/or damages, including reasonable attorney's fees, arising out of or resulting from the Client's use of the services and facilities. unless the same are due to the negligence or misconduct of any of the Indemnitees. The Client shall be fully liable for any costs incurred by Events On Boulder to repair any damage caused to the Event Space, and replace any property in the Event Space that is damaged, stolen or vandalized as a result of the Client's use of the Event Space, including, but not limited to, the willful or negligent acts or omissions of the Client's guests, invitees or contractors ("Repair Costs").
A walk through before and after the event will be done to ensure that nothing is damaged.
6. Set Up/Take Down
The Client shall ensure that all garbage is removed from the Event Space, and the Event Space shall be left in a state typical of normal use. The Client shall be fully liable for any costs incurred by Events On Boulder for the removal of garbage or any extraordinary cleaning required ("Cleaning Costs").
**All furniture must be put back to its original place, how the client found it. If set up/take down of the space needs to happen on another day, an hourly fee will apply.*
7. Liability
Events On Boulder disclaims all liability for any personal property and equipment of the Client's or the Client's guests, invitees or contractors brought to the Event Space. Any such property brought to the Event Space shall be at the sole risk of the Client or the Client's guests, invitees or contractors.
Events On Boulder disclaims all liability or responsibility for any loss, injury or damages in any form or of any kind, or in any manner whatsoever sustained by the Client or any person attending the Event or any other person, firm or corporation whatsoever including, but not limited to, any loss or damage resulting from:
1) the conduct of any person or persons attending the Event; and
2) the conduct of the Client or the management of the Event by or on behalf of the Client.
If this Agreement is signed in the name of a corporation, partnership, association, club or society, the person signing represents and warrants to Events On Boulder that she/he has full authority to sign such contract and in the event that she/he is not so authorized, she/he will be personally liable for the faithful performance of this Agreement. This Agreement shall be governed by and construed in accordance with the laws of the province of Alberta and Canada. This Agreement may not be assigned by the Client without prior written consent of Events On Boulder. This Agreement contains all of the understandings between the parties and may only be modified in writing signed by both parties.
Medical Emergencies:
The Client is responsible for responding to medical emergencies and contacting emergency services (911).
Client assumes responsibility for all medical costs.
8. Governing Law
This Agreement shall be governed and construed in accordance with the laws of the Province of Alberta and the laws of Canada applicable thereto.
9. Parking
Parking is provided free of charge on-site, up to the parking lot's capacity.
10. No Assignment by Applicant
This Agreement is personal to the Applicant and may not be assigned by the Applicant to any other individual, person, firm, company, corporation, association or third party without the express written consent of Events On Boulder, which consent may be withheld by Events On Boulder in its sole, absolute and unfettered discretion.
11. Privacy Laws
Events On Boulder agrees to comply with the Canadian Personal Information and Protection of Electronic Documents Act and such other Legislation and Regulations pertaining to privacy of personal information with respect to the receipt and use of the Applicant, as may be applicable.
By signing this agreement, you and your party consent to the sharing of your Event setup on social media.
12. General
The Client acknowledges that Events On Boulder may take photos of the Event, including but not limited to photos of event decor, final setup, florals, etc. For photos that include the Client or their guests, Events On Boulder shall use best efforts to ensure that neither the Client or their guests are recognizable.
13. Execution and Delivery
This Agreement may be executed and delivered by the parties hereto in counterpart, each of which shall be deemed to be an original, but all of which shall constitute one and the same instrument. The parties agree that this Agreement may be executed by either party and forwarded to the other party by facsimile transmission or other means of electronic communication and receipt by facsimile transmission or other means of electronic communication of a copy of this Agreement executed by a party shall bind the party so sending the Agreement by the facsimile transmission or other means of electronic communication. This Agreement shall come into effect as of the date of acceptance of this Agreement by Events On Boulder as set out below (the “Effective Date”).
14. Cancellation Policy
If the Renter cancels the event:
Cancellations made 7 days or more prior to the event date will receive a full refund.
Cancellations made within 7 days of the event will receive a 50% refund of the deposit.
No refunds will be issued for cancellations made less than 3 days before the event date.
15. Independent Legal Advice
The Applicant acknowledges and agrees that it has had the opportunity to consult with a lawyer before signing this Agreement.
